This privacy policy explains how Japanese Knotweed Liverpool (“we”, “us”) collects and uses personal information when you visit japaneseknotweedliverpool.co.uk, contact us or use our services. We handle personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Japanese Knotweed Liverpool provides Japanese knotweed surveys, management plans, treatment and removal across Liverpool and Merseyside. For any question about this policy or your personal information, email info@japaneseknotweedliverpool.co.uk.

What information we collect

When you fill in our contact form, call or email us, we may collect:

  • your name, phone number and email address;
  • the address or location of the property or site concerned;
  • the service you are interested in and the details you give us about the problem, such as where the plant is and whether a sale or mortgage is involved;
  • photos you send of the plant, your garden or property, and any documents you share, such as a survey or valuation report;
  • notes of our conversations, survey findings, reports, quotes and records of treatment and visits if work goes ahead.

When you browse the website, we may also collect technical information such as your IP address, browser type, the pages you visit and how you arrived at the site. Analytics information is only collected where you have given consent, as described below.

How we use your information

  • to respond to your enquiry and call you back;
  • to assess whether the plant is likely to be Japanese knotweed and what may be needed;
  • to arrange and carry out surveys, prepare reports, plans and quotes, and carry out work you ask for;
  • to keep records of treatment and visits that you may need for a sale, purchase or mortgage;
  • to keep business and accounting records;
  • to understand how the website is used and improve it, where you have consented to analytics.

Our lawful basis

We rely on the following lawful bases under UK GDPR:

  • Contract: where we need your information to give you a quote or carry out work you have asked for, or to take steps at your request before entering into a contract.
  • Legitimate interests: to respond to enquiries, keep proper records of the work we carry out and run our business, where this does not override your rights.
  • Legal obligation: where we must keep records, for example for tax or for the handling of controlled waste.
  • Consent: for non-essential cookies and analytics. You can withdraw consent at any time.

Who we share it with

We do not sell your personal information. We share it only where necessary:

  • with the independent local specialist who carries out the survey or work, so they can contact you and do the job (we will always tell you who is coming);
  • with the providers who host our website, email and form systems, who process data on our behalf;
  • with others where you ask us to, for example sending a report to your solicitor, buyer or lender;
  • where the law requires us to.

How long we keep it

If you enquire and the work does not go ahead, we keep your information for up to 2 years and then delete it. If work goes ahead, we keep survey reports, plans and treatment records for longer, because these may be needed for the duration of a treatment and monitoring programme and later for a sale, purchase or mortgage. We keep financial records for as long as the law requires.

Cookies and analytics

The website uses cookies that are necessary for it to work. With your consent, we may also use analytics cookies to understand how visitors use the site. You can accept or decline these, and you can change your choice or clear cookies in your browser at any time.

Your rights

Under UK GDPR you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, where we have no legal reason to keep it;
  • ask us to restrict or object to how we use it;
  • ask for your information in a portable format, where this applies;
  • withdraw consent at any time where we rely on consent.

To use any of these rights, email info@japaneseknotweedliverpool.co.uk. We will respond within one month.

Keeping your information safe

We take reasonable steps to protect your personal information from loss, misuse and unauthorised access, and we only share it with people who need it to do their job.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
